[remember]Before you begin, you must have installed the Import/Export System feature on your EKM online shop, as you will need this to generate your spreadsheets.[/remember]

Exporting your Product Data

1. From the Dashboard, click Features on the left-hand menu:

2. On the Installed Features page, click the icon to open the Import/Export System feature:

3. Click Export Data on the far right-hand side:

4. Click Export Products on the far right-hand side:

5. Click the green button on the far right-hand side:

6. Click the green button in the bottom right-hand corner:

7. Select the relevant file type from the list provided:

8. When the file is ready, click the link to download it onto your computer:

Counting your Products

Now that you have exported all of your product data onto a spreadsheet, you can use this to count the number of products you currently hold in your EKM online shop. Before you begin, click the corner cell to highlight all cells, and double-click the column border to extend each cell so you can see the contents:

For this task, you'll primarily be using the Action column. However, this will require some editing as not every row on this column qualifies as a product. 

What is not a Product?

Product Options and Product Bulk Discounts are not products. These rows hold information about the customisation options for a specific item (such as gift wrapping or a custom message) or the alternate pricing details in the case of Bulk Discounts.  

What is a Product?

Products and Product Variants are products, but remember that on a spreadsheet, the default Product Variant is listed twice, one as default and again below, with the rest of that item's variants. In this example, you’ll see the Pandora Pendant has Variants. Looking at the Product Code column on the spreadsheet, you’ll see the first Variant has the product code 1037, and this is duplicated; the first row details the product, whilst the second contains information about that specific Product Variant:

You need to complete two steps to get a total product count from your EKM online shop using a spreadsheet. The first step allows you to remove the default Product Variants, and the second removes any rows that do not contain legitimate product information. 

1. Removing Default Variants

There are two main ways to sort your default Product Variants, and which you select depends on the information you have listed against the existing items on your EKM online shop. 

Removing Default Variants using Product Codes

You should select this option if all your products have had a Product Code applied. You should be able to tell by glancing across your spreadsheet if any products are missing these details. If every product has been assigned a Product Code, follow the steps below. 

1. To begin, you need to highlight the Code column of your spreadsheet, and then on the Home tab of Excel, click Conditional Formatting:

2. Select Highlight Cells Rules and then Duplicate Values from the submenu:

3. In the modal that appears, click OK:

4. This will highlight any duplicate occurrences of a Product Code:

5. When you have identified a duplicate entry, you can remove that entire row from the spreadsheet accordingly, so just a single occurrence of each Product Code remains.

Removing Default Variants without Product Codes

If not all of your products have a Product Code assigned to them, follow the steps to filter out your default Product Variants. 

1. On your spreadsheet, scroll to the right until you locate the VariantDefault column. When you have, click it to highlight it, and then click Sort & Filter:

2. From the drop-down menu, select Sort Z-A:

3. In the modal that appears, make sure you have the 'Expand The Selection' option highlighted before clicking Sort:

4. You'll then see that your spreadsheet contents have been sorted according to the results in the Variant Default column. Your next step is deleting rows with the 'yes' value:

2. Removing Product Options and Bulk Discounts

Now that you have removed the default Product Variants from your spreadsheet, you need to remove any rows that contain data for items other than products, such as Product Options and Product Bulk Discounts.

1. On your spreadsheet, scroll back to the first column. Click the Action column to highlight it, and then click Sort & Filter on the top right-hand side:

2. Select 'Sort A-Z' on the drop-down menu:

3. In the modal that appears, make sure you have the 'Expand The Selection' option highlighted before clicking Sort:

4. Now you need to scroll down your spreadsheet, look at the contents of the Action column, and delete any rows that contain Product Bulk Discount:

5. And any rows that contain Product Option:

6. Finally, scroll to the bottom of your spreadsheet to the last row. In this example, the last row is 276:

7. If we subtract 1 (to represent the row containing the headers for your spreadsheet), the remainder is 275. This EKM online shop has 275 products.
