[intro]Before you begin this Guide, you must install the Import/Export System which will enable you to export all of your Product information onto a spreadsheet to delete and edit existing Products from your EKM online shop. [/intro]
In this Guide, you’ll learn how to edit and delete Variants from a Product using a spreadsheet. If you wish to make a structural change to existing Product Variants, such as changing the name, adding additional Variants or deleting excess Variants, this Guide will take you through the steps required.
[remember]In terms of editing Product Variants, if you simply wish to add information onto existing Variants - such as adding Weight, Brand and Custom Attributes for example - this Guide is not necessary, the linked Guides are what you need to follow instead. This Guide is primarily concerned with making structural changes to the Variants, such as changing the Variant Name and adding new or deleting existing Variants. [/remember]
To begin, you need to export your products to a spreadsheet by following the steps in this Guide. When you have opened the file, you should have a spreadsheet which looks something like this:
[warning] Before you continue, you need to delete any rows that include Products and Product Variants that you DON’T want to work on, leaving only the Products and Product Variants that you want to edit or delete from your EKM online shop. [/warning]
Editing Product Variants
Edits that require structural changes to existing Product Variants on your EKM online shop require the deletion of the original Product and any attached Variants first, and then on the same spreadsheet, the Product and its Variants need to be duplicated but this time, they need to include the changes that you wish to make and are added as entirely new Products and Variants.
Copying the original Product and Product Variants
1. Before you edit the existing Product and its Variants, you need to copy it on the spreadsheet. To do this, highlight the rows that include the Product and its Variants:
2. Right-click the highlighted rows and select Copy from the drop-down menu:
3. Right-click in the first empty row of the first column and select Paste from the drop-down menu to paste in the data:
4. This now gives you two copies of the original Product. Your next step is to edit the cells in the Action column that corresponds to the original Product, by adding the word ‘Delete’ before the word ‘Product’, like this:
5. This action tells the systems to delete the original version of the Product and it’s Variants, which in my example, are on rows 2 to 5. Rows 6 to 9 hold the version of the Product and it’s Variants that we need to edit:
6. To prepare the copied Product and its Variants for editing, we need to amend the command in the Action column, adding the word ‘Add’ before the word ‘Product’, like this:
7. In the ID column, you then need to delete the numbers for the new Product which in my example is everything on rows 6 to 9:
8. Repeat this process for the Image1, Image2, Image3, Image4 and Image5 columns:
9. Repeat this process for the WebAddress column:
Now you are ready to perform the actual edits to the Product and its Variants. Select from the choices below:
Changing the Variant Names
1. If you wish to change the names of the Variants, simply scroll along your spreadsheet until you locate the Variant Names column, and amend the names there:
2. After amending the names, you need to save your spreadsheet by clicking the File button in the top left-hand corner as normal:
3. You then need to follow this Guide to upload the spreadsheet onto your EKM online shop.
Deleting Product Variants from an existing Product
1. If you wish to delete all of the Variants from the Product, simply delete all of the Variant rows, leaving just the ‘Add Product’ row. In my example, this is completely deleting the content of rows 7 to 9. You can do this by highlighting the rows and then right-clicking them, before selecting ‘Delete from the drop-down menu:
2. After deleting the Variants, you need to save your spreadsheet by clicking the File button in the top left-hand corner as normal:
3. You then need to follow this Guide to upload the spreadsheet onto your EKM online shop.
Deleting excess Variants from an existing Product
1. If you wish to delete any additional Variants from the Product, you can do this by highlighting the rows containing the additional Variants and then right-clicking them, before selecting ‘Delete from the drop-down menu:
2. After deleting the excess Variants, you need to save your spreadsheet by clicking the File button in the top left-hand corner as normal:
3. You then need to follow this Guide to upload the spreadsheet onto your EKM online shop.
Adding additional Variants to an existing Product
1. If you want to add additional Variants to the Product, then use the empty cells beneath the existing Variants to add in the information, using the existing Variants listed above as a guideline when adding in the details:
[remember] Don’t forget to add in information for your new Variants using all of the populated columns on the spreadsheet for the existing Variants. You will also need to upload the Product Images for the new Variants into the File Manager using this Guide to ensure that your new Variants have images attached to them. [/remember]
2. After adding the extra Variants, you need to save your spreadsheet by clicking the File button in the top left-hand corner as normal:
You then need to follow this Guide to upload the spreadsheet back onto your EKM online shop.
