[caution]Before you begin this Guide, ensure that you have installed the new Orders Section within Labs and have received at least one order to your EKM online shop. [/caution]
There can be lots of reasons you need to edit an existing order; perhaps your customer placed their order and then contacted you to add some more items to it or to amend their Delivery Address. Perhaps you would like to apply a Discount to this order manually. Whatever the reason, the steps below will take you through the process of editing an existing order on the new Orders Section of your EKM online shop.
Editing Customer Details
1. Looking on the left-hand side of the order, you will see an element containing all of your customer’s details when the order was initially captured. There’s an Edit button for each of the different sets of details that can be amended:
Overview
2. If you click the Edit button for the Overview:
3. In the window that appears, you can amend your customer’s First Name, Last Name, Company and Email Address, before clicking the green Apply button to save your changes:
[tips]Remember if you amend the customer’s Email Address, all future notifications regarding this order will be sent to the new email address. [/tips]
Delivery Address
4. Click Edit to amend the Delivery Address:
5. In the window that appears, you have fields where you can amend the First Name, Last Name, Company, postal address, Country and telephone number that make up the entire Delivery Address, before clicking the green Apply button to save your changes:
Tracking
6. Click the Edit button:
7. In the window that appears, you can use the fields to add a Tracking Number for this order and select a Delivery Company from the drop-down menu. You can also add the Delivery Company Name and the Tracking URL in the field provided, which your shipping/courier company will be able to supply to you. When you have finished adding this information, click the green Apply button to save your changes:
Billing Address
8. Click the Edit button:
9. The window that opens up here is nearly identical to the Delivery address window in terms of the fields that you can edit, but this one features a Select Another Address drop-down menu in the top left-hand corner. If you click this, you can select the Delivery Address that you might have amended above, so you don’t have to complete all of the fields again. When you have finished adding this information, click the green Apply button to save your changes:
Editing the Order
10. To edit products within the order, click Edit on the far right-hand side:
11. This will display a page where you can edit the contents of the order itself:
Products
12. In this element, you can add another product to the order by either searching for the product name using the Search field or clicking the Browse button on the right-hand side:
13. In the window that appears, you can again use the Search field to locate the product, or click the Name button on the far right-hand side to select the individual Category:
14. To add a product to the order, simply tick the box next to the product and click the green Add button in the bottom right-hand corner:
15. Because you have added another product to this order, notice the Order Summary field on the left-hand side has been updated, and the system has worked out the New Total, and the amount you need to collect from your customer:
16. You can then click the green Save button in the bottom right-hand corner of the order:
17. This will redirect you to the order itself, which will have a Payment Status of Awaiting Payment, as more products have been added:
18. Contact your customer, collect the payment, and then you can amend the Payment Status to Paid:
Checkout Questions
19. If you have added Additional Information fields on the Order Summary or Order Complete pages of the Checkout Flow, you’ll see these displayed on the individual orders too. Click the Edit button:
20. You are then redirected to a page where you can edit all of the elements of the order contents. In the Checkout Questions area, you can amend the response that was given on the Checkout Flow, before clicking the green Save button in the bottom right-hand corner to save your changes:
You’ll then be redirected back onto the page displaying the order with the Checkout Questions amended.
Payment
21. The Payment element of your order contents includes Loyalty Points, Tax, Delivery Method and any discounts set up in the Discount Management feature that have been applied to the order. Click the Edit button:
22. This will open a window where you can override the existing totals, by amending the relevant fields. In this example, we’ll remove the Delivery cost to make the shipping free for this customer:
[remember] If you amend any of the fields for Subtotal, Tax or Delivery, you will need to manually amend the Total field too. If you make a mistake, you can always click the Restore button. [/remember]
23. When you have amended the relevant fields, you can either click Restore in case you want to start again, or instead, click the green Apply button:
24. You’ll then be redirected to the order. Notice that the Order Summary element in the top right-hand corner reflects the change that has been made. Click the green Save button in the bottom right-hand corner:
25. Now you’ve returned to the order, you need to leave an Internal Note as a record for amending the totals. Click the Internal Notes tab:
26. This will reveal any Internal Notes on the order. In this example, the customer used a Coupon Code at the checkout, so this is detailed here. Refund the shipping cost to the customer (if they already completed the order before you edited it) and add your notes by typing in the field and clicking outside of the field to save:
