[intro] When you have completed this Guide, you will have created a free trial account with Xero and configured it with your EKM online shop. If you wish to opt for a paid version, you can convert any existing accounting data from Sage or Quickbooks into your new Xero account.



Xero can help you manage the accounting side of your EKM online shop by:

  1. Using automatic bank reconciliation, thus reducing data entry and saving your valuable hours otherwise spent on administration;
  2. Allowing you to remain connected using your phone and the Xero mobile account app;
  3. Syncing with a range of third-party apps;
  4. Streamlining your payroll process.

Using Xero helps you to manage your accounting quickly, removing the need for piles of paperwork and hours spent chasing unpaid invoices. You can read more about Xero by clicking here.

[remember] Before you begin, you need to have completed populating your EKM online shop with Products and Categories and have previously received customer orders. [/remember]

Opening your Xero account

1. To begin, click here, which will take you to this page. Click ‘Signup here’:

2. You then need to add your name, email address and password that you would like to use with your Xero account. For your password, you need to choose something that is at least eight characters long and includes both upper and lower case letters, along with at least one number. When you have completed the field provided, click the green button to register your account:

Connecting to your EKM online shop

3. You now need to link your accounts together. Click ‘Connect EKM Shop’:

4. Add your Username (account ID) and password for your EKM online shop into the fields provided before clicking the green ‘Log in’ button:

5. You then need to click the green ‘Allow’ button:

Creating your Xero account

6. You’ll then return to this page. Click ‘Connect Xero Account’:

7. If you have an existing Xero account, you can use your login details in the fields provided on the left, however for entirely new users, click ‘Try Xero for free’:

8. You now need to complete the fields provided before clicking the ‘Get Started’ button at the bottom of the page:

9. You’ll then see this notification:

10. Log into your inbox. You’ll see an email which looks like this - click the blue button in it to continue:

11. You now need to choose a password for your Xero account. Make sure it has at least 8 characters and includes a combination of both upper and lower case letters and at least one number. Then click the blue button to continue:

Adding your Organisation

12. The next step is to add your organisation (your EKM online shop) to your Xero account. Complete the fields provided and click the ‘Start Trial’ button at the bottom:

13. This will take you to the Xero dashboard:

Importing your existing Orders

14. Your next step is to click here. You’ll be returned to this page. If you see that the Xero account displays as not being connected, don’t worry. Simply right-click the green button and select ‘Open in new tab’:

15. You’ll then see this notification. Click the blue button:

16. You’ll then be returned to this page but now both your EKM online shop and your Xero account will be connected. Scroll further down and click each of the Edit buttons to configure the data you want to import from your EKM online shop:

Click the blue Edit button to select which order statuses are imported to your Xero account. For example, you may want to bring all orders over, or alternatively, only orders that have been marked as Completed or Refunded, for example. Click the Edit button:

Click Edit, and then on the next page, you need to click the switch next to each order status you wish to import into your Xero account. When you have finished, click the green Save button:

[tips] If you have custom Order Statuses set up your EKM online shop, it's essential that you click Edit to ensure that these orders are imported too! [/tips]

Click Edit and on this next page, and use the drop-down menus to select the appropriate statuses, before clicking the green Save button:

Click Edit and on this next page, you need to use the drop-down menus to select the appropriate tax rates, before clicking the green Save button:

[tip] If you're not sure what your tax rates are, check on the Tax page within the settings of your EKM online shop. [/tips]

Click Edit and on this next page, you can select what Xero accounts your totals will be imported into, before clicking the green Save button:

17. You’ll then return to this page. Click the green View Synced Orders button:

18. Return to the browser tab displaying the Xero dashboard and refresh that page. You can now add you bank balances by hovering over the relevant element to see the + symbol. Click that to connect your business bank account to your Xero account:

23. You can also add regular bills to your Xero account, again by hovering over the relevant element and clicking the + symbol, which allows you to add each of your regular payments:
