Not setting up your delivery methods can sometimes result in customers receiving free delivery unintentionally, so it's essential that you configure these correctly. [/intro]

When setting up your Delivery Methods there’s a lot of different options involved, so it’s a good idea before you begin to have price lists to hand from your shipping or courier company. If you wish to use Royal Mail, you can find their price list by clicking here. Most delivery and courier companies rely on weight when pricing their services, often with extra fees added on for large or awkwardly shaped products which will perhaps require a different kind of service - for example, being delivered on a pallet - so if you have any Products that fit this criterion, it would be a good idea to note these down at this point too.

Adding a Weight to your Products

Before you begin to create and configure your Delivery Methods, you need to ensure that you have added a weight to each of your Products. The weight should be correct and not made up, because as customers add more products to their order, your EKM online shop will automatically calculate the total weight of the order and charge the customer the appropriate delivery fee - if the weights on the Products are not true, this will leave either yourself or your customer out of pocket, which is not the best experience for either party.

To add a weight to your Products if you have not done so already, you will need to install the Product Attributes feature and then enable Weight, which will allow you to add a weight value to each of your Products. Adding the weight values to the Products can be done in the Edit Product Window (accessed either by the Shop tab or the Advanced Inventory Manager feature) or in bulk using the Import/Export System feature. You need to ensure that you add prices for high enough weights to the Delivery Methods, otherwise you'll see the 'Sorry, this order is above the maximum weight we can deliver' error message on the Shopping Cart page - to avoid this it is best to over estimate how much your customers can purchase from you. 

[remember] The EKM platform will only allow customers to use one specific Delivery Method per transaction; customers cannot select different Delivery Methods for different Products. To do so, they would need to purchase the Products separately. [/remember]

Creating a Delivery Method

1. To create your first Delivery Method, click the Settings tab:

2. Then you need to click either Delivery on the far left or the Delivery Methods icon:

3. This will take you to the Delivery Methods page. Your Delivery Methods are listed at the top, with Country Groups at the bottom. You will learn more about Country Groups later on in this guide. For now, however, click the green Add Delivery Method button:

4. This is the page where you can configure your Delivery Method:

  • Enable Delivery Method - You need to tick this box to make this Delivery Method available to your customers. 
  • Enable for all Products - If this box is ticked, this Delivery Method is applied to all Products, however, if it is unticked, it will only be applied to specific Products, which can be selected on the Delivery Charges tab in the Edit Product window.
  • Country - On this drop-down menu, you can select the country that this Delivery Method is to be applied to. In the case of groups of countries, such as the EU or Asia, you will need to create a Country Group which you'll learn about a little later on. 
  • Name - To distinguish it from the others, you need to give this Delivery Method a name. 
  • Display Name - Commonly copied from the field above, this the name of the Delivery Method that is displayed to the customers. 
  • Description - The Description is also visible to the customers. 
  • Price - This is the 'base price' of the Delivery Method. If this is set as 0.00, the system will automatically look further down the page for prices applied within Price Restrictions or Weight Restrictions. 
  • Tax Rate - This is usually Standard Rate, but check with your delivery/shipping company to be sure. 
  • Delivery Notes - it's optional to complete this field, but useful for customers for some of the more unusual Delivery Methods, such as 'Your Order will be delivered on a pallet. Please ensure you have sufficient space to store this order when it arrives'.

The Delivery Method I’m going to set up for this guide is for standard UK shipping, sent first class. I’ll be using the Royal Mail Price List linked earlier on in this guide for my prices.

5. When you have completed the fields above, you need to scroll further down the page and click the box for Location Restrictions:

Location Restrictions

Location Restrictions allow you to tailor your Delivery Methods around customers who may live in areas where it is slightly more expensive to ship Products to them, such as the Isle of Man, Jersey, the Scottish Highlands, Northern Ireland and Guernsey. If you intend on using the Royal Mail to ship your Products to the UK Channel Islands, the prices do not fluctuate however some of the services do. You can read about this further on the Royal Mail website by clicking here.

Using the price list from your delivery/courier company, you need to ascertain which areas are charged slightly more and note them down if there are any. If their postcodes aren’t explicitly stated on your price list, click here to see a list of the postcodes within the United Kingdom to look up the postcode for the more expensive areas. When you’ve jotted down the postcodes of the areas that are more expensive than the rest, check the prices, as some areas - such as Jersey for example - might be more expensive than the Isle of Man. If all of the prices are roughly the same, you can group the postcodes together. When you have ticked the box to enable Location Restrictions on a Delivery Method, you can then choose what postcodes are excluded or included for this Delivery Method, by amending the drop-down menu to choose either ‘Allow’ or ‘Disallow’ and adding the relevant postcodes into the field provided:

For example, if it cost more to send Products to the Isle of Man, and I was currently setting up a UK standard 1st class Delivery Method, I would set the drop-down menu to Disallow, and enter ‘IM’ into the field provided, which would prevent anyone with an Isle of Man postcode from being able to use this delivery method:

I’d then need to set up a completely different Delivery Method for the postcodes that I’d just excluded, so I’d then need to create an Isle of Man Delivery Method and set those postcodes to Allow, ensuring that only customers with IM addresses could use that delivery method:

Using Location Restrictions on your Delivery Methods ensures that the right customers are filtered to use the correct Delivery Method for their shipping address and that neither yourself or your customers are left out of pocket.

Price Restrictions

Price Restrictions are useful if you plan on using more than one company to ship your Products, where orders below one total would be shipped by Royal Mail whilst orders above that total would be shipped using a courier company for example, as the Delivery Method can be restricted to suit different amounts. Tick the box for Price Restrictions:

Here, you can amend the settings to ensure that this Delivery Method is only available on orders of a specific subtotal. This is useful if you plan to use Royal Mail for orders under £25.00 and use a courier service for orders over £25.00. Presuming that this Delivery Method is Royal Mail first class, you would need to tick the box for Maximum Order Value and add £25.00 in the field provided:

You would then need to set up a second Delivery Method for orders over £25.01 which would be shipped by a courier. In the Price Restrictions area, you would need to tick the box for Minimum Order Value and add £25.01 in the field provided:

[caution] Price Restrictions are based on the subtotal of the order, so be aware that your Tax Settings will affect the figures added. [/caution]

Additional Costs

If some of your Products are expensive and to ship them will incur an insurance fee, for example, you would need to amend the fields here. To demonstrate, if my EKM online shop sold jewellery and insurance charges were incurred when some of my products were shipped, I would need to ensure that my Additional Costs were set up like this, by entering figures in the Price To and Additional Cost fields before clicking the green Add Row button:

To explain, any products less than £100.00 do not incur an insurance charge for me, but once the subtotal goes over that threshold, and up to £150.00, I need to charge my customer an extra £12.00 for the insurance fees. Once the subtotal goes over £150.01, the customer will need to be charged a different insurance amount, and so on. 

Weight Restrictions

Weight restrictions are used in conjunction with the weights added to each individual Product so that as customers add more Products to their Cart, your EKM online shop will work out the total weight of all the items and charge the customer the correct amount for delivery. Using this method is the most effective for ensuring that both yourself or your customer are not left out of pocket as the result of unexpected fees caused by the finished parcel being a lot heavier than expected. Tick the box for Weight Restrictions:

Using Weight Restrictions is useful if you plan to use different companies for shipping your Products based on the total weight of an order. For example, if you wanted to use Royal Mail to ship out all orders under 1 kilo and use a courier company for anything heavier, you would tick the box for Maximum Order Weight on your Royal Mail Delivery Methods and add 1 kilo into the field provided:

You would then need to create a Delivery Method for heavier orders and ensure that within Weight Restrictions, you tick the box for Minimum Order Weight:

Additional Costs

Adding Additional Costs within Weight Restrictions is the most important part of creating a weight-based Delivery Method. Using the price list from your delivery/courier company or the Royal Mail, you need to add the costs for each weight group into the fields provided, clicking Add Row for each weight class. For example, if I was creating a Delivery Method for Royal Mail Special Delivery, my price list would be:

The Products on my EKM online shop are not expensive, so it’s impossible for the value of the order to ever get over the £500 mark. With that in mind, I’m using the first set of prices from the Royal Mail price list above. I’d complete the Weight To and Additional Cost fields, clicking Add Row each time until all of the weights and prices have been added.

I’ve also put a Maximum Order Weight of 20 kg on this Delivery Method too, to prevent customers being charged wrongly should they purchase more - instead they will be redirected to another Delivery Method that caters for orders which weigh 20.01 kilos and over.

6. When you’ve finished editing your Delivery Method, click the green Save button on the bottom right of the page:

7. This will return you to the Delivery Methods page, where you can edit your first Delivery Method by clicking it and then clicking the Edit button:

Or you can make a new Delivery Method by clicking the green button:

You can use all of the steps above to create different Delivery Methods for shipping to the United Kingdom only.
